Addressing Data Security Threats from Shadow IT

Posted September 13, 2016by Franklyn Peart

According to IDC, business file sync and share is one of, if not the most popular cloud service with small- and medium-sized businesses (SMBs). However, this solution often causes shadow IT–related problems and unsanctioned company data access, though it is viewed by businesses as a productivity enabler.

Now, research has shown that the use of unsanctioned applications has been known to enhance innovation and productivity in the workplace. As one report stated, “The ability of mobile apps to rapidly improve the bottom line and boost top line performance is changing perspectives on shadow IT – broadly defined as applications and solutions built within an organization that the IT department is either unaware of or has not officially sanctioned.”

The Shadow IT Security Threat That Follows You

But despite these gains in productivity, IT departments still have to ensure the security of their data. This becomes increasingly difficult when shadow applications result in the migration of corporate data to cloud services that may not be trusted or controlled by the corporation. And so these IT departments are forced to decide whether to allow data migration to the cloud or sanction the use of cloud services in favor of traditional Windows® file share or similar on-premise solutions.

As a result, we see businesses partitioning themselves into two groups. The first is content to stick with their existing file servers to avoid the risks associated with cloud migration and the potential loss of security, compliance or control, while the second is willing to embrace the convenience and productivity gains promised by business file sync and share services despite these potential risks.

Why Sacrifice Business Productivity for Security or Vice Versa?

At Gladinet, we believe that companies should not have to face these compromises and have spent the last few years developing CentreStack - a product that combines the security, compliance and control of on-premise file servers with the convenience of anywhere access and collaboration from any device. We call this managed file sync and share.

CentreStack approaches business file sync and share as the cloudification of existing file servers in one of two primary ways. Either an existing file server will be presented as cloud storage to remote users without the involvement of third party clouds or VPNs, or the data and security settings on the file server will be migrated to the cloud. In either case, you end up with all the features you need for secure, compliant, controlled file sync and share without sacrificing usability or performance.

Please visit our booth at Navigate 2016 for a more detailed discussion of the benefits of CentreStack and the opportunity it offers to increase your profits from Office 365® deployments that often include 1TB of free OneDrive® storage but don’t offer centralized folder management or scalable sync performance.

CentreStack addresses the issues addressed in the preceding article and more with technologies like On-Demand Synchronization and centralized folder management based on traditional, NTFS controls. It is a managed file sync and share platform that satisfies the secure access and sharing needs of the modern, mobile workforce, while maintaining the control, security, scalability and performance that businesses are used to with their traditional, on-premise Windows® file sharing platforms. The net result is a smooth transition to the cloud without the need to retrain users and administrators.
